Purchasing Assistant

Position Summary: 

This position is responsible for providing administrative support to the Trade Relations Manager and the Production/Purchasing department.

Essential Functions:  Core duties or tasks that are fundamental and not marginal to the performance of the job. 

Production/Purchasing Duties:

  1. Enter Variance Purchase Order’s (VPO’s) into WorkSmart as directed.
  2. Build relationships with the Builders and Trade Partners.
  3. Do necessary due diligence prior to issuance of VPO
    • Be able to read plans to determine cause and need for VPO
  4. Ask the necessary questions when processing a VPO
    • Communicate with VP Ops and Area Managers prior to VPO processing as needed
  5. Convert invoices into VPO’s within WorkSmart as directed.
  6. Research Purchase Order’s (PO’s) as needed
  7. Process schedule delays in WorkSmart
  8. Have a familiarity with the construction schedule and its structure
  9. Generate Plan Change Request’s with proper documentation to give to Product Development department
  10. Enter job-specific vendor reassignments in WorkSmart.
  11. Maintain the schedule in WorkSmart.
  12. Research PO and payment issues to trades
  13. Daily release of PO’s per schedule/generate error report
  14. Non-scheduled release of PO’s as needed
  15. Enter monthly and quarterly pricing in bid files
  16. Run the monthly insurance report and upload all new COI
  17. Code and date all invoices from the builders
  18. Order all utilities for construction
  19. Review estimates with new communities.
  20. Be in a support role for the Trade Relations Manager.

Minimum Job Requirements:

Education:  High School diploma


Licenses, Certifications, etc:  None required

Experience: Minimum of 2 years of office and computer experience.  Experience in homebuilding industry preferred.

Technical/Professional Skills:  Office equipment skills

Computer Skills:  Microsoft Suites (Office, Excel, etc.) and Internet
