Charlotte Sales Coordinator

Position Summary:

The position is responsible for providing support, including administrative support to the Sales Agent(s) and Sales Management through data entry, management and constant review of the Multiple Listing Services and communication with the Sales Agents regarding available homes and assisting the Closing Coordinator in the management of the closing process for sold homes.

Essential Functions:  Core duties or tasks fundamental and not marginal to the performance of the job.   

1. Input all SDH listings in the Multiple Listing Service(s). Coordinate listing information with onsite Sales Agent.
2. Upload and manage images for all listed homes.
3. Complete weekly listing audits between Multiple Listing Service(s), SDH website and SMART system. Coordinate changes as needed between Onsite Agent(s), MarketingDepartment and Website provider(s).
4. Coordination of current incentives and disclosures of such within Multiple Listing Service(s).
5. Monitor the compliance and status of all listed homes in all Multiple Listing Service(s). Pend properties and report sold information within allotted timelines per Multiple Listing Service rules and regulations. Ensure no service fees are assessed to SDH.
6. Balance SDH Multiple Listing Service accounts to the listed, pending and sold properties accordingly. Ensure prompt payment of all service fees and / or invoices.
7. Document distribution of Executed Contracts, Change Orders and Amendments through document management system to include paper and electronic copies.
8. Tracking of all Sales Agents license status, renewals and Board membership. Prompting licensee for action prior to deadlines for renewals.
9. Coordination of the scheduling of Agent time off requests, vacation and report to HR time off.  Maintain one scheduling calendar for all agents and hostesses.
10. Review collateral sheets along with the options selected as part of a contract or inventory homes that are submitted from the sales team to ensure they are accurate.
11. Assist the Closing Coordinator, as needed to include:

A. Process closing schedule reports through the SMART system 45 days prior to closing.

B. Coordinate the scheduling/rescheduling of all closings between SDC Realty Onsite Sales Agent and Closing Attorney.

C. Ensure that the most current information is available related to the status of scheduled closings.

D. Manage all closings schedules between the SMART system and Closing Calendar

 Minimum Job Requirements:

Education:  High School Diploma

Licenses, Certifications, etc:  

Experience: Previous Real Estate Listing Management and/or Closing Coordination experience preferred.  Homebuilding experience helpful.

Computer Skills:  Microsoft Office, CRM experience, Internet
